Building a schedule that fits the site

A scheduled service is only worth having if the roster matches how the place is actually used. This is how the frequency gets set.

Start with the traffic

Frequency should follow use, not the calendar. Twenty people through a shared kitchen daily is a different job to four people in a quiet office, even when the floor area is identical. We look at traffic first and build the roster from there.

Fix the roster

Once the frequency is set, the visits stay put. Same days, same times, same people. Predictability is the whole point of a scheduled service: you stop thinking about cleaning, and the site never drifts far enough to need rescuing.

Adjust with the seasons

Cairns has two distinct halves to the year and a roster should acknowledge it. The wet brings water, mud and mould pressure indoors. The dry brings dust. We review the schedule rather than leaving a June arrangement running through February.

Working out the right frequency

Getting the roster right at the start saves a lot of adjusting later. These are the questions that decide it.

Daily, weekly or fortnightly?

Most Cairns offices land on weekly or twice weekly. Sites with public foot traffic, food handling or shift work usually need daily. Fortnightly suits small, low traffic spaces, but leaves enough buildup that each visit takes longer, which often cancels out the saving. Can we change the frequency later?

Yes, and you should when the site changes. Taking on more staff, opening a second entrance or changing your trading hours all shift what the place needs. Month to month means the schedule moves with you instead of being locked in.

What if we need a one-off deep clean first?

That is usually the right way to start. If a site has not been professionally cleaned in months, a deep clean resets it and the regular roster holds it there. Trying to catch up months of buildup inside a standard visit means something gets skipped.

Do the same cleaners come every time?

Yes. A rotating crew never learns a site. The same people each visit means they know which door sticks, which bin fills fastest, and where the problems start before they become obvious.

How long does it take to settle into a rhythm?

Usually two or three visits. The first tells us where the real problems are, the second confirms the timing works around your operation, and by the third the roster is doing what it should. If something still is not right at that point, we change it.

What happens over the Christmas shutdown?

The schedule pauses and picks up when you reopen, and most sites want a reset clean before the first day back. It is worth booking that early. The fortnight after New Year is the busiest stretch of the year for exactly this reason.
